Job Summary :
The Event Coordinator at Texila American University will be responsible for organizing and managing webinars, conferences, and both virtual and in-person events to promote the university’s programs and achieve organizational goals. This role requires exceptional attention to detail, the ability to handle multiple events simultaneously, and strong project management skills to ensure seamless execution and maximum audience engagement.
Key Responsibilities :
Webinar Conduction & Management
- Organize and manage webinars in alignment with the university’s business strategy and target audience.
- Handle end-to-end logistics, including sending invites, managing registrations, coordinating with speakers and moderators, collaborating with technical teams, hosting the webinar, and executing post-event follow-ups.
- Lead marketing initiatives to drive attendance and engagement for each webinar.
- Ensure consistent audience engagement before, during, and after each webinar.
- Track attendee feedback and conduct NPS (Net Promoter Score) surveys, aiming for an 80% NPS score.
- Continuously enhance webinar content and delivery based on feedback.
Conference Planning, Management & Execution
- Plan conferences in line with the university’s business strategy and tailored to the target audience.
- Oversee all logistics, including sending invitations, managing registrations, handling vendor relations, and organizing sponsorships.
- Coordinate speaker and moderator arrangements, as well as manage attendees to ensure smooth execution.
- Develop and manage conference budgets, monitor expenses, and ensure financial tracking and reconciliation.
- Conduct NPS surveys with participants to collect actionable insights for improving future conferences.
Budgeting & Financial Management
- Develop budgets for webinars and conferences based on allocation, track all expenses, and ensure financial records are accurately maintained and reconciled post-event.
- Optimize spending to align with event objectives without compromising quality.
Feedback & Continuous Improvement
- Implement feedback mechanisms, including NPS surveys, to gauge the success of events.
- Analyse feedback to improve future event formats, content, and attendee engagement strategies.
Qualifications :
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
- Proven experience in managing webinars, conferences, and similar events.
- Strong project management and multitasking abilities.
- Excellent communication and interpersonal skills to collaborate across departments and with external stakeholders.
- Familiarity with virtual event platforms, webinar software, and survey tools.
- Experience in managing event budgets and tracking financials.
Preferred Skills :
- Proficiency in event marketing and attendee engagement strategies.
- Ability to collect and analyse data for feedback-driven improvements.
- Knowledge of CRM and digital marketing tools.
